How to Effectively Send Reminders through a Live 360 Initiative

Log into Entromy

  • Select the Surveys icon

  • If there are multiple parent 360s (meaning different question sets were used across the feedback recipients) then first identify the parent 360 you'd like to initiate a reminder for.

  • ALL communications should be sent from the PARENT 360

    • 'child 360s' appear when the parent 360 is expanded and will effectively list the name of the feedback recipients associated with the parent 360.

  1. Sending Reminders

    • Use the Preview & Send reminders icon from the parent 360.

    • Check for accuracy in communications.

    • Send a preview email to yourself or others (be aware that the preview will include all child 360s within the initiative since the person triggering the preview will not always be participating in the initiative itself).

    • Trigger the reminder by selecting 'send reminder' after reviewing the preview.

  2. Checking Participation

    • Select three dots > mange participant next to the survey name

    • Export the participation list

    • View names, emails, dates of sending and response, assigned surveys, and completed surveys.

    • Identify individuals with incomplete feedback for follow-up.

      • Please note: You can also view the specific participation for a child 360 (aka for a specific feedback recipient) by expanding the parent view, and selecting the tiny human next to the child survey.

  3. Communication Strategy

    • Communicate reminders or resend surveys from the parent 360

      • If a participant lost their link, there is an option to re-send survey from the parent 360 -- Select three dots > mange participant, locate the participant needing their link re-sent, select the wrench beside their name and 're-send survey'

    • Avoid initiating communication from child surveys, hence why there is no option to preview and launch or preview and send reminder at the child 360 level (see image above)

  4. Additional Support

    • Contact customer success manager for guidance and support.


Please note:

When you send a survey or a reminder manually to a specific user via Surveys > Actions > Manage Participants > Send Survey/Resend Survey/Send Reminder, they will receive it regardless of their status - even if they’ve answered all questions or if their status is inactive.

This behavior differs from the Preview & Send Reminders (bulk) feature, where users who have already participated don’t receive reminders. The purpose of manual reminders is to give org admins the flexibility to nudge specific participants to complete skipped questions.
