Before launching your survey, it's critical to confirm that everything has been configured correctly. This phase exists to catch issues before they impact participants or reporting.
Most problems that surface after launch can be traced back to something missed here.

This phase is a validation step.

Treat this as your final checkpoint before going live.
1️⃣ Basics Review (Required)
Before reviewing demographics, participants, or communications, confirm that all settings in the Basics tab have been intentionally reviewed.
Survey identity
☐ Internal survey name is clear and recognizable (Example: Jan 2026 ABC Feedback Survey)
☐ Participant-facing survey title aligns with launch communications
This is what participants see first — unclear titles can reduce trust and participation.
Survey schedule & timing
☐ Survey launch behavior is correct (immediate vs. scheduled)
☐ Survey close date is intentional and realistic
☐ Time zone is correct for your participant population
Language & translation review
☐ All required survey languages are selected
☐ Language selection matches your participant population
☐ All auto-translated content has been reviewed, including:
Survey questions
Survey title
Launch and reminder emails
Automated reminders & survey settings
☐ Automated reminders are intentionally enabled or disabled
☐ Reminder frequency and behavior have been reviewed and selected
☐ Survey settings are confirmed, including:
Reporting threshold
Crowdsourcing
Collaboration / nomination settings
Reminder behavior and survey settings defined here directly affect both the participant experience and reporting outcomes.
2️⃣ Demographic & Privacy Readiness
Demographics and privacy thresholds directly impact how results are displayed and who can see them.
☐ Required demographics are configured (e.g., Location, Role, Department, Title, Hire Date)
☐ Demographic values are accurate and consistently formatted
☐ Privacy threshold behavior is confirmed for each demographic cut
☐ Low-response groups have been identified and bucketed appropriately

3️⃣ Users, Roles & Access
Before launching, confirm that roles and ownership are assigned intentionally.
Entromy supports the following role types:

Participant | Survey respondent | Required |
Only the Organization Admin role is required. Survey Admin and Report Viewer roles should be used only when responsibilities need to be separated.
Pre-launch role checklist
☐ At least one Organization Admin is assigned
☐ Survey Admin is assigned if survey setup or execution is being delegated (optional)
☐ Report Viewer (Manager Access) is assigned for read-only reporting access (optional)
☐ Survey execution owner is clearly identified
☐ Reporting and insights owner is clearly identified
Even when optional roles are not used, ownership must still be clear.
4️⃣ Participant Readiness
Before launch, confirm that participant setup is complete.
☐ Participant list has been created and reviewed using the Entromy participant template
☐ You know where and how participation will be monitored after launch
5️⃣ Communication & Launch Readiness
Confirm that all participant-facing communications are finalized.

☐ For 360 surveys: parent vs. child survey behavior is understood
Note on parent vs. child 360 surveys: In Entromy, a 360 initiative uses a parent survey to manage all communications and reminders. Child surveys are linked to individuals being reviewed. All launches and reminders should be sent from the parent — not from individual child surveys. Sending from the wrong level can cause duplicate or inconsistent communications.
☐ Internal expectations for participation monitoring are aligned
Final Readiness Check
Before launching, confirm:
☐ All Basics settings were intentionally reviewed
☐ Configuration decisions align with survey objectives
☐ Reporting and privacy behavior are understood
☐ Roles, ownership, and escalation paths are clear
