If you're new to Entromy, start here before jumping into individual how-to articles. This page explains:

  • Who should do what

  • What order things happen in

  • Where things commonly go wrong

  • How to know you're on track

Who this guide is for

This guide is intended for:

  • Organization Admins and Survey Admins setting up Entromy

  • Program owners (HR, People Ops, Leaders)

  • Customers implementing Entromy with or without CS support

If you are a survey participant, you do not need this guide.

The Entromy implementation journey (at a glance)

Most successful Entromy implementations follow the same high-level flow:

  1. Define your objective — Organizational Health Baseline (OHB), Pulse survey, Value Creation Plan (VCP), or 360

  2. Configure your survey — Questions, dimensions, and privacy thresholds

  3. Prepare participants — User file, roles and permissions, communication plan

  4. Launch and monitor — Send surveys, track participation, send reminders correctly

  5. Analyze results and take action — Generate reports, interpret insights, share results responsibly

  6. Optimize — Refine your approach based on results and lessons learned

The articles in this Help Center map directly to each of these steps.

What to do first (don't skip this)

Before creating or launching anything in the platform, make sure you understand:

  • What type of survey you're running (OHB, Pulse, VCP, or 360)

  • Who owns setup versus execution

  • How dimensions and privacy thresholds affect reporting

Skipping this context is the #1 reason implementations need rework later.

Common mistakes to avoid

Here are a few issues we see frequently during first-time implementations:

  • Launching a survey before validating dimensions

  • Expecting reports to generate when privacy thresholds aren't met

  • Sending reminders from the wrong survey level (parent vs. child 360)

  • Jumping straight to reporting without confirming participation health

If something doesn't look right, it's usually due to setup — not a bug.

How to know you're set up correctly

You're generally on track when:

  • Your survey is configured with the right questions and dimensions

  • Admin roles are clearly assigned

  • Participants can access the platform as expected

  • Participation tracking reflects what you expect to see

Before launch, we strongly recommend completing the Pre-Launch Checklist (Phase 3) to confirm nothing critical was missed.

When to self-serve vs. contact Support

Many questions can be answered directly in this Help Center, especially around:

  • Survey setup

  • Reporting behavior

  • Participation tracking

You should contact Support if:

  • You believe data is missing unexpectedly

  • A live survey is blocked or time-sensitive

  • You're unsure whether an issue is a configuration problem or system behavior

Reach out at support@entromy.com if needed.

Where to go next

Follow the phases in order for the smoothest implementation experience:

Final tip

Entromy is most effective when setup decisions are made intentionally and early. Spending a little extra time upfront saves significant effort later.
