As a best practice, Entromy recommends sending survey reminder emails every 2-3 days within a given survey window.
Reminders sent from the Entromy platform are only delivered to participants who have not yet submitted any kind of response to your survey.
To send a reminder email from the Entromy platform:
1) From the top navigation menu, click Surveys:
2) Locate your Active survey(s), then click Preview & Send Reminders:
3) After a few moments, the below dialogue box will appear, where you can review your reminder text. Click "Edit" to make any desired changes to the email subject and/or body:
Please Note:
If your survey includes more than one reminder message or translated launch and reminder emails, you will have the option to toggle between additional languages to review the reminder text and/or select a specific reminder. If you don’t toggle the locale and leave it in English:
Employees whose locale is not English, but who have a translated reminder available in their language, will receive the reminder in that language.
Employees whose locale is not English and do not have a translated reminder available (the field is blank) will receive the reminder in English.
4) Once your review is complete and any desired changes have been made, click Send preview email -- a proof of the reminder email will then be sent to your email address. Be sure to check the subject line, as well as any dynamic elements (most commonly @FirstName, @SurveyLink and @SurveyEndDate) to ensure they're populating as expected.
5) When you're ready to send your reminder emails, repeat steps 1 and 2, then click the Send Reminder button as shown in the image above.
Please note:
When you send a survey or a reminder manually to a specific user via Surveys > Actions > Manage Participants > Send Survey/Resend Survey/Send Reminder, they will receive it regardless of their status - even if they’ve answered all questions or if their status is inactive.
This behavior differs from the Preview & Send Reminders (bulk) feature, where users who have already participated don’t receive reminders. The purpose of manual reminders is to give org admins the flexibility to nudge specific participants to complete skipped questions.
