This article explains how to monitor participation during or after a survey, export detailed participation data, and view participation broken down by dimension (e.g. department, location, tenure).
What's covered in this article
Step 1 — Navigate to the Surveys tab
Step 2 — Open Manage Participants
Step 3 — Review individual participant status
Step 4 — Export participation data to Excel
Step 5 — Understand the Excel export
Step 1 — Navigate to the Surveys tab
From the home page, select the Surveys tab in the top navigation bar.
Step 2 — Open Manage Participants
The current overall participation rate is displayed next to each survey name. To view individual-level detail, click the three dots (⋯) next to the survey and select Manage Participants.
Step 3 — Review individual participant status
The Manage Participants screen shows a full list of all participants in the survey, including:
When the survey invitation was first sent
Whether and when a reminder was sent
When the participant responded (if at all)
If the response date is blank, the participant has not yet submitted a response.
📝 Note: Partial responses are counted under "Responses." A blank response date means no submission has been made, even if the participant opened the survey.
Step 4 — Export participation data to Excel
To download a full participation report for further analysis, click the Export button at the top of the Manage Participants screen.
Step 5 — Understand the Excel export
The exported Excel file contains multiple tabs with different levels of participation detail.
Users Tab — Individual participation status
The Users tab shows participation status at the individual level. The Participation column indicates whether each person has responded:
Participation = 0 — has not participated
Participation = 1 — has submitted a survey (complete or partial)
Dimension Tabs — Participation breakdown by dimension
The Excel export also includes a separate tab for each dimension that was uploaded in your participant file (e.g. Department, Location, Tenure, Business Unit). Each dimension tab shows the participation rate for every subgroup within that dimension, making it easy to identify which groups are under-represented and where to focus your outreach efforts.
💡 Tip: Dimension tabs only appear if those dimensions were included in your original participant file upload. If you do not see a specific dimension tab, it may not have been included in the file. Contact your Account Manager or support@entromy.com if you need help updating your participant file.
