How to set up and launch a survey

The Entromy platform makes it simple to launch a survey in just 5 easy steps: Basics, Participants, Questions, Communication, and Preview & Launch.

  • You only need to complete the required fields to get started quickly. Want to customize further? Just expand the optional fields to add features like automated reminders, demographic questions, or custom report access.

  • Advanced options, like Digital Focus Groups, ONA-Nominations, and Safe Sender listing, are already pre-filled, but you can adjust them anytime using the Settings button in the top-left corner.


🚀 Step 0: Start the Survey Creation Flow

  • Navigate to Surveys at https://live.entromy.com/surveys.

  • Click the green “Add Survey” button.

  • Choose a question set:

    • Click Preview > Preview Survey to view the survey.

    • Click Select to import it into your new survey.

    • For custom surveys, choose "Custom Survey" to upload your own question set.


📝 Step 1: Complete the Basics

Once you’ve selected a survey, you’ll be redirected to Step 1: Basics. Here, you can edit the survey name, the participant-facing title, set the survey close date (including day, time, and time zone), schedule survey auto launch and choose the languages you’d like to support. When you're done, click "Save & Continue" at the bottom of the page.

A few things to keep in mind:

  • You can change or extend the survey close date at any time.

  • Entromy supports multi-language surveys. On the Basics screen, you’ll select the languages you need - translations will be uploaded in the next step.

  • Want to schedule survey reminders to be sent automatically? Expand the Optional settings to configure Automated Reminders.


👥 Step 2: Add Participants

Now it's time to define who should receive your survey.

Method 1: Add users from existing groups

If you've run a survey with Entromy before, you may already have existing users. You can add those users to your new survey by clicking "Add existing user":


Select the users you'd like to add from the drop-down menu. You can always edit these users here.

Method 2: Upload new participants via template

If this is your first survey and you haven't added any participants before, this is the method for you. Start by clicking "Download Participants Template":

Add your employee data to the template file, then click "Import" > "Import - Add". In some cases, you may want to include additional demographics that aren't included in Entromy's default participant file. Click here to learn more about customizing your user dimensions. Click "Save & Continue" at the bottom of the screen.

A few things to keep in mind:

  • If you'd like, you can grant access to survey results for specific users (such as team leads) by expanding Optional settings > Access and clicking the "Add Users" button. Don’t worry if you’re not ready to assign access just yet - you can always come back and do it later.

  • Alternatively, you can click "Download access template" to designate which of your users should have results access to particular groups, then click "Import access file". Click "Save & Continue" at the bottom of the screen.


❓ Step 3: Add and Customize Your Questions

This is where you’ll define which questions appear in your survey. If you’ve selected one of Entromy’s pre-populated question sets, the questions will appear automatically.

You can edit a question by clicking directly on it, rearrange them by dragging and dropping, or remove a question by clicking the “x” on the right.

If you’ve chosen to build a custom survey or if you’d like to add additional questions, you have a couple of options:

Option 1: Using the Add Questions feature

This is a great option if you're adding a small number of questions. To add a large number of questions to your survey, refer to option 2 below.

  • Click the green "Add Questions" button. Here, you'll see a list of all questions currently included in your survey and other available questions. Select question from the list or start typing your new question in the box, then click the "add" option to add question to your list:

Option 2: Bulk uploading new questions

If you're creating a custom survey and have a lot of questions you'd like to add, this option is for you. Start by downloading the questions template, as shown here:

Within the template file is a set of instructions for how to configure your questions. Once your file is complete, add the questions to your survey by clicking the "Import questions" button as shown above. Click "Save & Continue" at the bottom of the screen.

A few things to keep in mind:

  • After uploading, adding, or editing questions for your survey, you can Preview them to see how they will appear to participants. We’ve also introduced the ability to Preview the survey based on specific demographics. This is especially useful if you’re using conditional questions or displaying certain questions to specific groups (e.g. leadership team, a specific location, or participants who provided certain answers to previous questions).

  • For multi-language surveys, you'll need to add translations to your question file. Learn more here.

  • Want to add Demographic questions? Just expand the Optional settings to enable the Demographic questions


📨 Step 4: Configure your initial launch and reminder communications

When you launch your survey, an email notification will be sent to each of your participants. On this screen, you can edit the "Initial email" fields to customize this email:

A few days after your survey launches, you may wish to send a reminder to participants who have not yet responded. You can edit your "Reminder Email" fields on this screen as well. You'll have the option to review and edit these email notifications once more before you launch.

Additionally, in this section you can configure your Welcome and Thank You messages, which will appear at the beginning and end of the survey-taking experience.

Click "Save & Continue" at the bottom of the screen.


🔒 Step 5: Finalize Launch Details

Now's the time to confirm your survey setup, send yourself a preview email, and launch!

If you'd like to make any changes, navigate to the applicable area using steps 1-5. Be sure to click "Save & Continue" after making any adjustments.

Before launching, send yourself a preview email by clicking "Receive preview email" at the bottom of this screen:

After a few moments, a preview email will arrive in your inbox. Please check this email for accuracy and completeness; please also click the survey link to verify everything's configured as you like.

If everything looks good,

  • click the green "Launch Survey" > "Launch now" button to deploy the survey to your participants immediately.

  • If automatic survey launch is configured, click “Launch Survey” > “Launch now” to deploy the survey to your participants on the selected auto-launch date.


⚙️ Settings

By default, we have pre-filled some defualt settings for you: Digital Focus Groups, ONA-Nominations, Locale and Safe Sender listing.

Entromy's "digital focus group" capability:

  • Enable voting: When Entromy presents a free form question to the user, we may also show suggestions made by other team members, and ask the user to rank those suggestions in order of relative importance. Note, a user may answer the question without ranking the suggested statements.

  • Select demographic: You can select a demographic to restrict the suggested statements by a particular user dimension. By default, the system makes the suggested statement available across the organization.

Safe sender listing:

  • Corporate spam filters sometimes have strict settings, so it would be beneficial to ensure that Entromy is whitelisted with your company. This will help ensure survey emails are delivered to your participants' inboxes successfully. Provide the information on the corresponding screen to your IT administrator, and ask for their confirmation of completion.

  • Once whitelisting is completed by your IT administrator, you can send yourself a test email right from this screen as well.
