🔐 How to Manage and Assign Access for Managers in the Entromy Platform
This guide walks you through managing access for different users—especially managers—so they can see exactly what they need, without overexposing sensitive data.
👥 Understanding User Roles
Entromy has three main user roles:
Org Admin:
Full access. Can view all reports, run surveys, and make configuration changes.Discussion Material:
Limited access. Can view selected survey reports based on assigned visibility (e.g., by department or region).Limited User:
No reporting access. Can only complete assigned surveys.
💡 Tip: When assigning roles, consider the minimum access needed. For instance, a manager might need data visibility for their team, but doesn’t need full admin privileges.
📊 Assigning Survey-Level Access
To control access for a specific survey:
Navigate to the “Surveys” tab at the top.
Select the survey you want to modify.
Go to the “Access” tab.
Add the users who need visibility into this survey.
Define what parts of the results they can access—based on filters like department, region, or custom groups.
Example: If a manager should only see results from the Product team, you can restrict their access to that group only.
After assigning access, you can send login credentials:
Individually: Click the three dots beside a user’s name.
In bulk: Select multiple users, then send credentials.
Click “Save and Continue” to apply your changes.
⚙️ Managing System-Wide Access
To update a user's overall role across the platform:
Click the Settings icon (⚙️) and select “Users”.
Find and open the user’s record.
From the Role dropdown, choose the appropriate role (e.g., Discussion Material).
Click Save, then send credentials.
🔁 Review Access Regularly
It’s good practice to periodically audit user access:
Go to Settings → Users
Review roles and permissions to ensure each user has the appropriate level of access.
This helps maintain security and keeps sensitive data in the right hands.
